Description of the Supply Chain Management Unit Position
The admin team, consisting of two staff members—with one position currently vacant—manages and coordinates all payment requests for local Supply Chain Management Unit operations. This includes handling payments for events, procurement, consultants, interns, hospitality, and international staff entitlements. The team also offers travel guidance and visa support, organizes logistical arrangements for SCMU-wide events, and facilitates the onboarding of incoming staff, including the processing of relocation benefits for international personnel. Additionally, they oversee office space allocation and management, building access and security, and payments to contingency personnel. They assist with common services-related transactions and all payments linked to DNK business. Furthermore, the team champions green initiatives and reporting while supporting the ICT team with office asset management.
Pillar 4 delivers essential administrative, financial, accounting, data analytics, and ICT support services that are vital for the day-to-day operations of SCMU.

In this context, the Administrative Analyst position will be located within the General Administrative Team of Pillar 4 – Support Services in the Supply Chain Management Unit (SCMU). Reporting directly to the Head of Pillar 4 – Support Services, the Administrative Analyst will collaborate closely with SCMU colleagues, other HQ Business Units, Regional Offices, Country Offices, and various external partners. By filling this role, the candidate will contribute significantly to UNFPA’s overarching goals and the achievement of sustainable results.
Job Purpose:
During this consultancy, the selected candidate will focus on several key responsibilities:
- Manage the administrative portfolio and payment processes for local (DNK) operations within the Supply Chain Management Unit (SCMU). This includes overseeing workflows for payments to individual contractors (ICs) and interns, organizing local events, handling non-travel financial claims, processing local procurement payments, and managing staff entitlement payments related to reassignment or relocation.
- Perform travel processor functions as a certifying officer in the UNALL ERP system. In this role, the candidate will oversee travel administration within SCMU and provide essential guidance to SCMU staff.
- Review all payment requests for local (DNK) operations and process them using Aodocs.
- Manage the reconciliation system for local payments, which includes travel-related expenses and payments to local suppliers.
- Process travel and financial claims efficiently and accurately.
- Prepare calculations and payments for the reassignment and relocation of International Personnel (IP) staff.
- Oversee the office space booking system and coordinate any necessary rearrangements in both office and storage spaces.
- Support the onboarding of new SCMU staff, including conducting training sessions to ensure a smooth transition.
- Assist in completing year-end activities in the relevant areas.
- Implement initiatives in line with UNFPA’s green office strategy and act as the Green Focal Point (GFP).
- Assist the ICT team with asset management tasks for SCMU.
- Support the administrative assistant in managing tasks related to stationery, post and UN pouch, and building access for ID and visitors.
- Take on additional duties as assigned by the Senior Supply Chain Manager (SSM).
Expected Results:
The successful candidate will provide expertise and establish internal processes, particularly by:
- Effectively supporting the development of administrative and travel processes.
- Facilitating the execution of administrative activities, including onboarding for newcomers and visitors.
- Contributing to the implementation of other aspects of the Pillar 4 portfolio.
Qualifications and Experience:
Education:
An advanced university degree or a Bachelor’s degree with at least 2 years of relevant experience in Accounting, Finance, Business Administration, or International Commerce is required.
Knowledge and Experience:
The candidate should possess strong interpersonal skills and the ability to cultivate diverse partnerships. Familiarity with UNFPA or UN administrative policies and procedures, along with hands-on experience as a travel processor, buyer, or finance user with Quantum or a similar ERP system, is essential. Additionally, relevant experience in office management or administrative service management, particularly in travel, is an asset.
Languages:
Proficiency in English is required, while knowledge of any other UN languages is considered a plus.
Duration:
This consultancy position will last for three months.
