Event and Knowledge Management Intern Job Description

The United Nations Development Programme (UNDP) operates in around 170 countries and territories. Specifically, it helps governments develop strong policies, institutions, and partnerships. Consequently, this support aims to achieve the 2030 Agenda for Sustainable Development and its 17 Sustainable Development Goals (SDGs). To aid in SDG financing, UNDP established the Sustainable Finance Hub (SFH). This hub not only consolidates UNDP’s expertise but also provides a comprehensive set of tools. These tools assist governments, the private sector, philanthropy, and international financial institutions in accelerating financing for the SDGs. Moreover, the Finance Against Slavery and Trafficking (FAST) Initiative is a key program of the SFH. It specifically mobilizes the financial sector to achieve SDG 8.7, which seeks to eradicate forced labor, modern slavery, and human trafficking. Currently, FAST is entering its third phase (2024–2030). In this phase, it emphasizes sustainable finance solutions and targeted interventions in high-risk countries.

As for the Event and Knowledge Management Intern, this role will play a vital part in supporting FAST’s initiatives. In particular, it involves assisting with program management, coordinating events, and promoting knowledge-sharing efforts. Ultimately, this internship offers a unique opportunity to contribute to impactful projects that tackle modern slavery and trafficking through innovative financing solutions.

Duties and Responsibilities of the Event and Knowledge Management Intern

The Event and Knowledge Management Intern will work under the guidance of the Sustainable Finance Programme Manager and the direct supervision of the FAST Initiative Project Coordinator. Additionally, the intern will collaborate closely with other SFH team members and Business and Human Rights colleagues. The intern will assist with the following duties and responsibilities:

1) Event Management Support:

  • First, support the organization of in-person, virtual, and hybrid multi-stakeholder consultations, roundtables, and bilateral meetings.
  • Next, coordinate logistics for events, including invitations, agendas, and follow-up materials.
  • Assist in event setup, execution, and breakdown to ensure all activities run smoothly.
  • Moreover, address any issues or emergencies that arise during events promptly and effectively.
  • Support the preparation of pre- and post-event surveys, as well as analyze survey data.
  • Maintain updated records of the event calendar and participant engagement metrics.
  • Finally, assist with maintaining event contact lists.

2) Knowledge Management Support:

The Event and Knowledge Management Intern will:

  • Assist in documenting key insights, recommendations, and stakeholder commitments during consultations.
  • Help draft event debriefings, outcome reports, presentations, and communication materials for internal and external stakeholders.
  • Support the development and maintenance of knowledge repositories, including resource materials and tools for stakeholders.
  • Facilitate the dissemination of knowledge shared at events via Intranet and Viva Engage.
  • Assist in creating Intranet sites, Teams Channels, SharePoint Folders, and material kits (including slide decks and promotional materials) for recurring training events.
  • Maintain effective communication channels to address inquiries and provide updates.

3) Public Communications and Content Development:

  • Work with team members to support communications planning aimed at promoting knowledge products and activities across social media and email.
  • Update content related to events on FAST’s digital platforms, including its website and intranet.

4) Administrative Support:

The Event and Knowledge Management Intern will:

  • Support the implementation of the FAST workplan through document preparation and process management.
  • Maintain detailed records and contribute to staff meetings and progress reports for FAST project activities.

Qualifications, Skills, and Experience:

Only applicants with a valid visa and employment authorization in the US for the six-month duration of the internship will be considered.

This is a Part-time Internship with 20 working hours/week (office-based).

Education and Eligibility Requirements

Field of Study Required:
The Event and Knowledge Management Intern Candidates should have a background in hospitality, public relations, international development, international relations, economics, political affairs, knowledge management, project management, or sustainable finance.

Eligibility:
To apply for the UNDP internship program, candidates must meet one of the following criteria at the time of application:

  • (a) They must be enrolled in a postgraduate degree program (such as a master’s program or higher).
  • (b) They should be in the final year of a first university degree program (such as a bachelor’s degree or equivalent).
  • (c) They must have recently graduated with a university degree (as defined in (a) and (b) above) and, if selected, should start the internship within one year of graduation.
  • (d) They may be enrolled in a postgraduate professional traineeship program and undertake the internship as part of this program.

Experience Requirements

  • The Event and Knowledge Management Intern Candidates need to have experience in data analysis, demonstrated through university coursework.
  • Additionally, a minimum of 1 year of experience in event planning, management, or project management is highly desirable, preferably within international organizations or similar settings.
  • Furthermore, candidates should have at least 1 year of experience in capacity development and knowledge management, especially in sustainable finance or sustainable development through academic coursework, research, or professional experience.
  • Experience with multilateral organizations or bilateral donor agencies is also beneficial.
  • Lastly, knowledge of modern slavery and human trafficking through coursework or professional experience is considered an asset.

IT Skills

  • Candidates must demonstrate proficiency in Microsoft Office Suite.
  • Familiarity with data visualization tools, such as Power BI, Tableau, or R, is also desirable.

Language Skills

  • The Event and Knowledge Management Intern must be fluent in both written and spoken English is required.

Main Internship Conditions

  • Interns are responsible for obtaining the necessary visas and arranging travel to and from the duty station for the internship.
  • They must provide proof of enrollment in a health insurance plan.
  • UNDP will not cover any costs arising from accidents, illness, or death incurred during the internship.
  • Interns may receive a stipend according to UNDP Internship Policy to help cover basic daily expenses, such as meals and transportation at the duty station.
  • It’s important to note that interns are not staff members and cannot represent UNDP in any official capacity.
