Understanding Africa Programs at the Foundation

Currently, the Mastercard Foundation is enhancing the Young Africa Works strategy. This initiative aims to empower 30 million young people across Africa to find dignified and fulfilling jobs.

To ensure accessibility for partners and participants, the Foundation has opened offices in Rwanda, Kenya, Ghana, Senegal, Ethiopia, Nigeria, and Uganda. These offices provide essential local support for implementing the Young Africa Works strategy. The Foundation collaborates with governments, the private sector, educators, and funders to improve education quality and vocational training. They aim to equip young people with skills, enhance access to financial services for entrepreneurs, and connect job seekers with meaningful employment.

The Executive Assistant Opportunity

The Executive Assistant will report to the Senior Director of Canada Programs. In this role, they will provide comprehensive administrative support, which includes scheduling meetings, organizing events, and coordinating travel. Additionally, the Executive Assistant will oversee the Foundation’s internal matters, collaborating closely with other Executive Assistants and staff.

Ways the Executive Assistant Can Contribute

The Executive Assistant will manage and coordinate internal and external events for the Senior Director. This ensures that events are effective, prioritized, and accessible. They will also provide liaison and administrative support for the Canada Program team, aiding integrated program staff throughout Canada.

Moreover, the Executive Assistant will prepare pre-read materials, confirm agendas, and capture action items for all Canada Program and Integrated Program meetings. Timely distribution of meeting notes is essential, along with following up on actions to support the Senior Director and designated staff.

Logistical coordination is another key responsibility. This includes managing room bookings, catering, and refreshments for meetings and events. They will also handle travel arrangements, such as accommodation, transportation, and visa or immunization requirements.

In addition, preparing and submitting expense reports accurately and efficiently is crucial, aligning with organizational policies. The Executive Assistant will oversee the program team calendar, prioritizing and resolving scheduling conflicts as they arise.

Facilitating internal communication within the Canada Programs team and the broader office is vital. They will maintain and organize shared folders used by the team, ensuring easy access to information. Finally, composing routine correspondence to support interactions with internal staff and external stakeholders is also part of their duties.

Additionally, the Executive Assistant will coordinate and compile materials for Foundation Board and PST reporting. Building and maintaining relationships with executive assistants and key Foundation partners is essential as well. They will also provide backup support to other Foundation executive assistants and administrators as needed.

What is required from the Executive Assistant

You hold a college diploma or a university degree in a related field. Additionally, you have at least 3-5 years of experience as an Administrative Assistant in a fast-paced environment, preferably with local experience. Strong prioritization, time management, planning, and logistical skills are essential for your success.

Moreover, you possess excellent interpersonal and communication skills in English, both written and spoken. You can work effectively under pressure and adapt to changing situations. You are also proficient in MS Office applications, including PowerPoint, Word, Excel, Office 365, and SharePoint.

Your attention to detail is crucial, as you consistently produce high-quality work. You can work independently with minimal supervision while managing multiple projects.

In addition, you have well-established networks with service contractors, relevant stakeholders, and partner organizations. Your professional maturity, sensitivity to diverse cultures, and impeccable integrity reflect the Foundation’s values. Finally, you demonstrate a strong commitment to the Mastercard Foundation’s values and vision.
