The Analyst in Content Management Opportunity
As the Analyst, Content Management, you will report to the Lead of Content Management. In this role, you will be responsible for implementing approved Enterprise Content Management (ECM) plans. Specifically, you will ensure their successful delivery. Additionally, you will work closely with both internal and external stakeholders to achieve results. Your contributions will enhance the effective management, accessibility, and compliance of enterprise content. Importantly, you will embody and promote the Foundation’s values, support team engagement efforts, and ensure ECM solutions align with organizational goals and user needs.
Ways You Can Contribute as the Analyst in Content Management
- First, implement ECM solutions as directed. Ensure they align with organizational priorities, compliance standards, and user needs.
- Next, configure and manage ECM platforms like SharePoint. This includes managing sites, pages, metadata, and workflows.
- Collaborate with internal clients and external vendors to understand user needs. This ensures alignment with project objectives.
- Identify and address inefficiencies in ECM processes. If complex issues arise, escalate them as needed.
- Conduct tagging, organization, and migration of content. This will enhance usability, searchability, and compliance with Foundation standards.
- Support the implementation and maintenance of the Foundation’s records management and archives program.
- Update and manage taxonomy terms, definitions, synonyms, and relationships. Ensure accuracy and alignment with organizational practices.
- Develop and deliver ECM training materials, workshops, and job aids. This will enhance staff capabilities in content management.
- Advise staff on best practices for classifying, handling, and accessing information.
- Provide one-on-one support to users. This will help address challenges and improve ECM adoption across the organization.
- Ensure ECM policies and templates are adhered to during implementation and operations.
- Identify and escalate non-compliance issues to the Lead, Content Management. Recommend corrective actions.
- Finally, use feedback and metrics to inform and improve the implementation of governance frameworks.
Who You Are to Qualify as an Analyst in Content Management
- You have a background in Knowledge Management, Information Management, or Library Science. Expertise in taxonomy, records management, and information management processes is essential.
- Additionally, you have proven experience managing and optimizing information management systems. This includes content management systems like SharePoint and taxonomy management tools like Pool Party.
- You can conduct user research and needs analysis. This allows you to design tailored content management solutions using human-centered design techniques.
- Experience with both agile and traditional project management methodologies is important. You can manage competing priorities and deliver successful technology implementations.
- Comprehensive knowledge of information and records management best practices is crucial. This includes understanding retention policies, compliance, and architecture.
- You are skilled in designing and maintaining knowledge asset templates using modern tools and advanced techniques to enhance efficiency.
- Advanced knowledge of Office 365 apps, particularly SharePoint Modern, is required. Familiarity with Viva Engage and Term Store for content management is also beneficial.
- You have a strong service orientation and a commitment to collaboration. Supporting the Foundation’s goals effectively is a priority.
- Experience supporting capacity-building efforts through training, mentoring, or peer learning initiatives is valuable.
- You demonstrate the ability to anticipate challenges, develop innovative solutions, and adapt based on feedback and evolving needs.
- Familiarity with the operational needs of social impact organizations, including enterprise practices and grant-making workflows, is advantageous.
