Key Responsibilities of the Operations Associate
Under the direct supervision of the Chief of Mission and in collaboration with relevant Project Managers, the Operations Associate will support resettlement and movement activities in IOM Australia. Key responsibilities include:
- Acting as the operational focal point for the active resettlement and self-payer travel programs managed by the mission.
- Coordinating with the Project Manager to prepare regular updates and reports that monitor performance against established program metrics and quality assurance standards.
- Staying informed about key program developments and assisting the Project Manager in providing updates to IOM country offices and Headquarters (HQ).
- Working directly with the donor resettlement operations team to fulfill operational program requirements and secure cost approvals in accordance with contract standards and procedures.
- Coordinating operational needs with missions, ensuring compliance with contracts and RMM guidelines and policies.
- Collaborating with the Project Manager to maintain IOM movement and project information systems according to established organizational standards.
- Maintain effective communication between Toll and missions regarding the self-payer 202 cohorts receiving services under the Australian Resettlement Programme.
- Facilitate travel bookings for beneficiaries as needed, ensuring compliance with established program SOPs and IOM travel regulations for staff.
- Contribute to creating communication materials and resources that enhance awareness and accessibility of available programs.
- Build and nurture positive relationships with beneficiaries, donors, and other stakeholders through regular engagement and timely, professional communication.
- Identify opportunities to diversify and expand the mission’s program portfolio and assist in developing project proposals.
Education Requirements for the Operations Associate Job
- High School diploma with five years of relevant experience; or
- Bachelor’s degree in social science, International Relations, Regional Studies, or a related field from an accredited institution, along with three years of relevant professional experience.
Experience Requirements for the Operations Associate
- Prior experience in Movement Operations and/or transportation is essential.
- Proficiency in IOM’s movement operations tools (IGator, MiMOSA, SAR, Amadeus, etc.) is highly preferred.
- Experience in a Resettlement Program is a strong advantage.
- Background in working with refugees, beneficiaries, migrants, civil society, and government is beneficial.
- Previous experience with IOM, a UN agency, or another international organization is advantageous.
- Experience in a multicultural environment is important.
